Choosing payroll software in Nigeria: what actually matters

Every payroll system demos well. You see a clean dashboard, a list of employees and a payslip that prints. The problems appear later — usually at month end, usually when a statutory deduction is wrong and someone has to explain it.

Statutory compliance is the whole job

PAYE in Nigeria is not a flat percentage. It involves consolidated relief, gross income bands and reliefs that change with legislation. A system that hardcodes last year's bands will quietly produce wrong figures for months before anyone notices.

The same applies to pension contributions, NSITF, NHF and group life. Ask any vendor to show you exactly where those rates live in the system, and how they are updated when the law changes. If the answer involves a support ticket and a wait, factor that into your decision.

Your salary structure is not standard

Most organisations have earnings and deductions that do not appear in any textbook — a location allowance, a shift differential, a deduction that applies only to one grade. If the software cannot express those as formulas you control, you will end up maintaining a spreadsheet alongside the system, which defeats the purpose.

Loans and advances are where systems break

Staff loans sound simple until someone needs a repayment rescheduled, a deduction stopped for a month, or an early settlement calculated. Systems that treat loans as a fixed monthly deduction cannot handle any of that, and the workarounds get ugly.

Ask about the second year

Implementation gets all the attention, but you will live with the support relationship far longer. Find out who answers when something breaks in the middle of a payroll run, whether they know your configuration, and what the response time actually is in practice.

A practical shortlist

Before you commit, ask any vendor to run one real month of your own payroll data through their system in front of you. Not a demo dataset — yours, with your allowances and your edge cases. The vendors who agree are the ones worth talking to.
